BarnOps, LLC ("BarnOps," "we," "our," or "us") operates the BarnOps mobile application and website (collectively, the "Service"). This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our Service. Please read it carefully.

By using BarnOps, you agree to the practices described in this Privacy Policy. If you do not agree, do not use the Service.

1. Information We Collect

1.1 Information You Provide Directly

  • Account information: name, email address, password, role (manager, staff, instructor, boarder/client).
  • Barn and horse data: barn name, address, horse profiles, care records, medical notes, feeding plans, and related content you enter.
  • Communication content: messages, announcements, and notes you create within the app.
  • Billing information: payment card details processed securely through our payment processor (Stripe). We do not store full card numbers.
  • Documents and files: Coggins papers, vaccination records, waivers, and other files you upload.

1.2 Information Collected Automatically

  • Location data: GPS coordinates are captured at the time of clock-in and clock-out for time tracking purposes. Location is only collected during active clock-in/clock-out events — not continuously in the background.
  • Device information: device type, operating system, app version, unique device identifiers.
  • Usage data: features used, pages viewed, timestamps of activity.
  • Log data: IP address, browser type, referring URLs, error logs.

1.3 Information From Third Parties

  • Authentication providers: if you sign in via a third-party service, we receive basic profile information.
  • Payment processors: Stripe provides us with transaction confirmations and subscription status. We do not receive full payment card numbers.

2. How We Use Your Information

We use the information we collect to:

  • Provide, maintain, and improve the Service
  • Create and manage your account and barn
  • Process payments and manage subscriptions
  • Record GPS location at clock-in/clock-out for time tracking and payroll accuracy
  • Send service-related communications (shifts, reminders, notifications)
  • Respond to support requests
  • Monitor and analyze usage to improve the app
  • Detect, prevent, and address technical issues and fraud
  • Comply with legal obligations

3. Location Data

BarnOps captures GPS coordinates when a user clocks in or clocks out. This data is used solely to verify time clock entries and assist barn managers with payroll accuracy.

  • Location is captured only at the moment of a clock-in or clock-out action — not continuously or in the background.
  • Location data is stored with the time entry record and visible to barn managers.
  • Location data is not sold to or shared with third parties for advertising purposes.
  • Users may decline location permissions, but GPS data will not be captured with their time entries.

4. How We Share Your Information

We do not sell your personal information. We share information only in these circumstances:

4.1 Within Your Barn

BarnOps is designed around barn-level data sharing. Barn managers have visibility into all data within their barn, including staff time entries, GPS punches, care logs, and communications. Staff and other roles see only the data appropriate to their permission level.

Important: Barn managers can see all messages and communications sent within the barn's chat and announcement features. Do not use BarnOps chat to send messages you expect to be private from barn management.

4.2 Service Providers

We share data with trusted third-party vendors who help us operate the Service:

  • Supabase: database and authentication infrastructure
  • Stripe: payment processing
  • Vercel: application hosting
  • Analytics providers: aggregate usage analytics

These providers are contractually bound to use your data only as directed by us and to protect it appropriately.

4.3 Legal Requirements

We may disclose information if required to do so by law, court order, or governmental authority, or if we believe in good faith that disclosure is necessary to protect our rights, protect your safety or the safety of others, or investigate fraud.

4.4 Business Transfers

If BarnOps is acquired, merged, or sells substantially all its assets, your data may be transferred as part of that transaction. We will notify users of any such change.

5. Data Retention

We retain your data for as long as your account is active or as needed to provide the Service. If you cancel your subscription, your data remains accessible until the end of your paid period. After account termination, we retain data for a reasonable period for legal compliance and dispute resolution before deletion, unless applicable law requires longer retention.

You may request deletion of your personal data at any time by contacting us at support@barnops.com. Note: deletion of barn data may affect other users in your barn who rely on that data.

6. Data Security

We implement industry-standard security measures including encryption in transit (TLS), encrypted storage, access controls, and regular security reviews. However, no method of transmission over the internet or electronic storage is 100% secure. We cannot guarantee absolute security.

7. Children's Privacy

BarnOps is not directed to children under the age of 13. We do not knowingly collect personal information from children under 13. If we learn we have collected personal information from a child under 13, we will delete it promptly. If you believe we may have collected information from a child under 13, contact us at support@barnops.com.

BarnOps may be used by minors age 13 and older only with the consent and supervision of a parent or guardian. Minors participating in barn programs (e.g., riding students) may be added by barn managers as users. Parents or guardians of minors should contact the barn manager regarding their child's data.

8. Your Rights and Choices

  • Access and correction: You can view and update your account information within the app.
  • Data deletion: You may request deletion of your personal account data by contacting us.
  • Location permissions: You can revoke location permissions in your device settings at any time. This will prevent GPS capture on clock punches.
  • Push notifications: You may disable push notifications in your device settings.
  • California residents: You may have additional rights under the California Consumer Privacy Act (CCPA). Contact us for more information.
  • EU/EEA/UK residents: You may have additional rights under GDPR, including the right to data portability and the right to lodge a complaint with your local supervisory authority. Contact us for more information.

9. Third-Party Links and Services

The Service may contain links to third-party websites or integrate with third-party services (e.g., HorseOps.com). We are not responsible for the privacy practices of those third parties. We encourage you to review their privacy policies.

10. Changes to This Privacy Policy

We may update this Privacy Policy from time to time. We will notify you of material changes by posting the new policy in the app or by email to the address on file. The "Effective Date" at the top of this page will reflect the date of the most recent update. Continued use of the Service after changes constitutes acceptance.
